Job Description:

FotoFest is seeking a full-time contract Manager for the
planning of its primary fundraiser, the FotoFest Biennial Fine Print Auction
and Gala. The Auction Manager is responsible for all in-house preparation for
the auction and related events and reports to the Executive Director. The
Auction Manager will work with the Auction Co-Chairs in soliciting Auction
sponsorships with mailings and sponsor follow-up. The Manager will also work with
FotoFest staff on various aspects of the Auction such as website postings,
public relations and Auction catalogue production.

Key Responsibilities:

  • Communicate and
    maintain timely follow up with donating artists, auction sponsors, auction
    co-chairs, and FotoFest Executive Director
  • Maintain and
    organize good records on mailings to donating artists, receipt of prints
    and related informational material
  • Arrange for safe
    transport and storage of all auction pieces, from their arrival to
    FotoFest to where they are framed, to all events and the final delivery to
  • Receive,
    process, track and keep records on all monetary donations from auction
  • Assist FotoFest
    Event Planners in decisions and arrangements for the food, drink and
    volunteers related to the auction gala and preview events
  • Arrange and plan
    auction preview events with Executive Director and co-chairs
  • Receive and
    organize content for production of auction catalogue and auction website
  • Produce auction
    catalogue and invitations to all auction events
  • Coordinate and
    schedule mailings of invitations and catalogues with mail house
  • Contact vendors
    and order supplies and materials for auction
  • Organize
    volunteers for auction previews, auction night and associated events


  • Bachelor’s
    degree in public relations, fine arts, event planning or related field
  • Excellent
    written and oral communication skills
  • Ability to work well with
    all types of people
  • Knowledge of
    Adobe Photoshop and InDesign
  • Knowledge of Microsoft
    Office Suite, i.e.: Word, Excel, PowerPoint and Outlook
  • Highly organized
    with multi-tasking capabilities and ability to meet deadlines and
    prioritize projects, supporting others in doing the same
  • Flexibility,
    ability to work in a fast-paced environment and under pressure
  • Imagination,
    creativity, good problem-solving skills and ability to take initiative
  • Willingness to
    work late hours and weekends when necessary

Additional Desired

  • Visual arts
    background and/or experience with photography
  • Knowledge of
    Houston philanthropic and sponsorship communities 
  • Knowledge of
    Desktop Publishing, Web publishing (including CMS), and Adobe Acrobat
  • Experience in
    non-profit administration
  • Experience
    handling artwork and/or framing of artwork
